Data Retention & Destruction Policy

Version 1.1 – Last Updated: 21 July 2025

This Policy outlines the data retention, archival, and destruction protocols adopted by Notarize.ae in compliance with UAE data protection and commercial regulations.

Personal data is retained only for as long as necessary to fulfill the purpose for which it was collected, or as long as is legally required under applicable laws, including but not limited to tax law, identity verification regulations, and notarial practice obligations.
Notarized documents and associated metadata are retained for a period of up to ten (10) years to comply with UAE legal requirements. Identity verification records are retained for a minimum of ten (10) years. Payment and transactional records are retained for at least seven (7) years. Unused uploaded documents are purged after one hundred and eighty (180) days. Records of support communications and helpdesk logs are retained for up to three (3) years. Unsuccessful or underage registration attempts are deleted within thirty (30) days.

Data is securely destroyed using cryptographic erasure or industry-standard sanitization tools. Physical media, if any, is destroyed through shredding or certified destruction services.

If a legal hold is in effect due to a court case or regulatory investigation, data will not be deleted until the hold is lifted.
